Privacy Policy

This policy explains what information AthenaLab (“AthenaLab”, “we”, “us”) collects across our products and services — Numina, Athena Dispatch, and our custom automation work — why we collect it, and how it is handled. Our products are built to keep your data in your own accounts wherever possible, rather than in a database we control.

1. What we do

AthenaLab builds practical automation for small businesses. Numina lets you photograph or upload a receipt (JPEG, PNG, PDF); the image is stored in your own Google Drive and an AI service extracts the line items (date, merchant, amount, category) into a Google Sheet in your own Drive. Athena Dispatch is job-management software where your company’s data (customers, jobs, quotes, invoices) is kept in a tenant scoped to your business. Our automation services are built directly on your own tools and accounts.

2. Information we collect

a) Account information

When you sign in (e.g. with Google, or by creating an account), we receive your email address and basic profile information, used only to identify your account within our products.

b) Product data

For Numina, receipt images you upload are sent to our AI OCR provider (OpenAI) for processing and then stored in your own Google Drive; the extracted data is written to a Google Sheet in your own Drive. AthenaLab does not keep a separate database copy of your receipt images or the extracted financial data. For Athena Dispatch, the business records you enter are stored in your company’s own tenant and are never shared with other companies.

c) Payment information

If you subscribe to a paid plan, billing is handled by Stripe. AthenaLab does not receive or store your full card number. Stripe shares with us only what is necessary to manage your subscription (plan type, subscription status, last 4 digits of your card, billing email).

d) Usage and diagnostic data

We may collect limited technical data (app version, device type, error logs, timestamps) to diagnose failures. This does not include the contents of your receipts or business records.

3. Third parties we share data with

• Google — hosts your Drive files and Sheets, governed by Google’s own privacy policy.
• OpenAI — processes Numina receipt images to extract line-item data via their API.
• Stripe — processes payments for paid subscriptions, governed by Stripe’s privacy policy.

We do not sell your data to third parties, and we do not use your receipt contents or business records for advertising.

4. Google account permissions (Numina)

Where Numina connects to Google, it requests only:

• Sign in with Google (identity only — we do not read or send your email)
• Google Drive — permission to create and write the files Numina makes (your receipt images and generated Sheets); we do not browse or read your other Drive files
• Google Sheets — permission to create and write rows for your expense and income data

You can review or revoke these permissions at any time at myaccount.google.com/permissions. Revoking access stops Numina writing new data but does not delete files already created in your Drive.

5. Data retention and deletion

Because your Numina receipt images and extracted data live in your own Google Drive and Sheets, you control their retention directly — you can delete individual files or the whole Numina folder at any time. For Athena Dispatch, you can request deletion of your company’s tenant data. Diagnostic/error logs are retained for a limited period for troubleshooting, then deleted. 6. Children’s privacy

Our products are not directed to children under 13 (or the minimum age required by your local law), and we do not knowingly collect information from children.

7. Changes to this policy

We may update this policy as our products change. Material changes will be reflected by updating the “Last updated” date above, and where required, we will notify active users.
